What's new in Gumtrue


We’ve added a range of new tools to help you manage your business with greater ease and flexibility. Explore a more organised approach to configuration, new reports across key areas of your business, improved customer and supplier management, quicker billing and sales, and more control over permissions and stock. 


Settings, your new configuration hub


  • Everything in one place: Settings is organized into sections for You, Business, People, and Finance & Records, making it easier to find and manage your configuration. Each section has its own page, so you can also bookmark frequently used settings. 
  • Find settings quickly: Use Search settings to find what you need. Search works with setting names, descriptions, or related words, then takes you directly to the relevant setting and highlights it.
  • Personalize your experience: Your personal details and password are available under Your account, alongside options such as dark mode and content width.
  • Everything for your business: Customize invoice and order templates, control stock settings, update your business details, organize products and pricing, and configure returns to suit your customers and business needs.
  • Manage users and templates: Users, Roles & permissions, UI profiles, and Document templates are organized in one section, keeping your main configuration easier to find and manage.
  • Dedicated pages for key records: Chart of accounts, Tax rates, and the Audit log each have their own pages, making them easier to access and share.
  • Easy access to approvals: Approvals has its own option in the main sidebar, giving you a direct way to access your business approval queue.
  • Automatic saving for switches: Settings with toggles save automatically when you change them, with a small tick confirming the update. Settings that require text input are grouped together and can be saved using the bar at the bottom, which shows how many changes are waiting to be saved.
  • Accessible bookmarks: Links to Users, System, Document Templates, or Profile will automatically take you to the relevant location in the new Settings hub.



Reports, grouped by business area

Reports are divided into Sales, Finance, Inventory, and Purchasing: Find the reports you need by business area, with each group covering a different part of your business.



Sales

  • Sales Analysis: View quantities and sales values across any date range, grouped by customer, product, category, or customer and product. Filter by a specific customer, category, or product.
  • Sales Listing (VAT Breakdown): View the VAT breakdown behind your sales listing, including subtotal and discount columns.
  • Discounts shown on sales reports: Sales Summary, Sales by Product, and VAT reports show subtotal and discount columns when discounts are included in the selected period.

Finance

  • Expense reports: Review and track your business expenses to understand where money is being spent.
  • Collections and Payment Listing: Keep track of payments received and collections made across your business.
  • Aged Receivables and Payables: See outstanding customer and supplier balances by how long they have been due.
  • Bank and Tax Summary: Get an overview of your bank and tax figures in one place.
  • Credit Note Listing: View and track credit notes issued across your business.

Inventory

  • Stock Reorder: See which products need reordering, with filters for category, supplier, and stock level. You can also raise draft purchase orders directly from the report.
  • Set your own reorder levels: Set a minimum and maximum stock level for each product, so reorder recommendations are based on the levels you choose rather than a fixed quantity.

Purchasing

  • Purchase Orders and Summary: Review your purchase orders and get an overview of purchasing activity.
  • Purchase Bills: View purchase bills and their details, with a By Product view to see purchasing information at product level.



Customers and Suppliers, simpler account management

  • Opening balances: Enter opening balances as real bills or credit notes that can be allocated and paid, rather than as balances that cannot be cleared.
  • Sort and filter the list: Quickly find customers and suppliers using sorting and filtering options.
  • Credit notes and payment allocation: Easily allocate credit notes and payments to invoices, and unallocate them whenever needed.
  • Information at a Glance: Quickly view sales, orders, balances, and unallocated credit for each customer/supplier.
  • Flexible invoicing settings: Set invoicing per order or weekly, with the option to customize the week-ending day for individual customers or suppliers.
  • Assign document templates: Select the appropriate document templates to customers and suppliers.
  • Organized price lists: Easily view and manage customer and supplier pricing in one place.
  • Ledger, outstanding, and allocation history: Access organized, printable records for easy account review.
  • User-friendly transaction forms: Enter and manage customer and supplier transactions through simpler, easier-to-use forms.


Quick bills and Invoicing

  • Enter supplier bills faster: Create a bill without entering every individual product line. Select a product, enter the total, choose the VAT rate, and add as many summary lines as needed while keeping your purchase ledger and VAT return accurate.
  • Create sales quickly with Till: Scan product barcodes or select products from the screen, with images available for easy identification. Complete the sale and generate an invoice immediately.



Products and Pricing

  • Product management: Manage product information in one place, including images, multiple units of measure, supplier assignments, costs, and batch tracking
  • Price lists: Create multiple price lists and assign them to customers, apply blanket discounts, and link document templates.


Finance

  • Expenses: Easily record and manage expenses using categories grouped according to HMRC requirements, with the option to attach receipts.
  • Treasury: Manage payments, receipts, and other financial transactions in one place, with a clear view of your cash activity.


Logistics and Rounds

  • Logistics: Create and manage delivery routes, organize stops, and mark deliveries as completed with the option to capture customer signatures.
  • Rounds:  Organize customers and deliveries into rounds and keep recurring delivery schedules structured and easy to manage. 



Permissions that match what you can actually do

  • Clear, flexible permissions: Give users access to the pages, actions, and information they need based on their role.
  • Separate import and export access: Control who can import or export data without giving them broader permissions to add or edit individual records.
  • Action-based permissions: Control access to specific actions such as Quick Invoice, Import, New Credit Note, Record Payment, Add Warehouse, and Create Route.
  • Protect sensitive cost information: Restrict access to purchase costs and stock valuation details to authorised users.
  • Safer permission management: Prevent permission changes that could leave your organisation without anyone able to manage access.
  • More control over tags and approvals: Give specific users permission to manage and assign tags or handle support approval requests.
